Local History Collection Access Policy

The Hubbard Memorial Library collection contains many rare and irreplaceable items relating to the history of Hubbard Memorial Library, Ludlow town records, photographs, documents, pamphlets, yearbooks, and other ephemera. In order to protect this important collection, some content is stored in a secured cabinet. Hubbard Memorial Library local history materials do not circulate.

Hubbard Memorial Library Materials

Patrons looking for particular items located in the secured cabinets should request the item at the circulation desk. Staff will retrieve the items and take an ID until the item is returned to the circulation desk. Due to the fragile nature of some of the items, access may only be under supervised conditions. Materials that have been digitized provide virtual access to the content which may either be printed out or provided in electronic format. All retrieved items must be read / viewed at a location designated by the circulation desk staff.

Photographs

Patrons interested in the Hubbard Memorial Library Photographs should be directed to the notebooks at the circulation desk, marked HUBBARD MEMORIAL LIBRARY PHOTOGRAPH COLLECTION. Due to the fragile nature of some of the items such as glass plate negatives, access may only be via digital copy available on our website. The Hubbard Memorial Library photograph collection notebooks contains photocopies of the original photographs along with an information sheet about the photograph collection. Each photograph is assigned its own identifier number. ID is required and must be left with the circulation desk staff. Patrons may request no more than 5 photographs at a time.


PHOTOCOPYING OF PHOTOGRAPHS IS NOT ALLOWED AT ANY TIME. An electronic copy of the photograph can be provided to patrons upon advisory / completion of a usage agreement (See Hubbard Memorial Library Photograph Reproduction Policy and / or Hubbard Memorial Library Photograph Permission to Publish document.

Hubbard Memorial Library Room Pamphlet File

Patrons may copy pamphlets from the folders in the Hubbard Memorial Library local history collection. These items DO NOT circulate.

Yearbooks

The Hubbard Memorial Library yearbook collection is accessible by asking at the circulation desk. Staff will retrieve the items and take an ID until the item is returned to the circulation desk.

Microfilm

Microfilm is located at the circulation desk. The library does not have access to a microfilm reader. A special loan agreement may be completed so the patron can bring the microfilm(s) to a location that has access to a microfilm reader. Microfilm circulates by special loan for a period of one week.
